Sign-ups for nonprofits

Updated September 6, 2026

A nonprofit already has a donor database, a newsletter, and a board packet. MojoSignUp is the public or semi-public board for “who is standing where on Saturday.” It is not a CRM, a grant report, or a volunteer hour tracker. If you need hours for a grant, export names after the fact and keep hours in the system you already report from.

One team for the organization

Name the team after the org. Invite the volunteer coordinator and whoever runs the event on site. Use separate sign-ups for different programs: food pantry shifts, gala setup, park cleanup. The public team page can be the volunteer calendar you link from the website — but only for sign-ups you mark as publicly listed.

Internal board retreats stay unlisted. Community service days stay listed. That split is the whole communications strategy. See sharing.

Shift boards

Same structure as any volunteer event: one instance per day, slots per window and role, capacities from how many people you can actually supervise. A pantry that can train two new people per hour should not have a slot capacity of 20. Empty-looking boards with huge capacities attract no-shows.

Save the Saturday grid as a template. Generate or add dates for the month. Delete holiday weekends. The playbook is How to run a volunteer event.

Supply and donation lists

Slots named by item, capacity 1 (or a small number): “Paper towels · 4,” “Diapers size 4 · 2.” That is a better ask than a paragraph that says “bring what you can.” Put drop-off hours in the description. This is not inventory software; when the slot is full, people stop bringing that item.

Fundraiser attendance

A gala RSVP is an instance with a capacity equal to tables × seats. If you also need table hosts and auction runners, those are slots on the same instance or a separate volunteer sign-up. Do not force paying guests through a volunteer-style slot list. Paid tickets, if you use a payments-capable plan, are a different path than a free RSVP. Confirm what your plan actually includes on Pricing before you promise checkout on the page.

What you still do in email

Waivers, background checks, and orientation. You can attach a custom form before registration for shirt size or t-shirt pickup, not for a legal waiver you need on file. If a role requires clearance, make that slot invitation-only in practice: leave listing off and send the URL to cleared people, or staff it yourself from a known list.

Reporting

The roster is who said they would come. After the event, pull names for your hour log. MojoSignUp will not calculate hours from slot start and end times for a funder. If you need that, keep it in the spreadsheet your board already expects — populated from this roster, not the other way around.

First public cleanup day

One sign-up, listing on, team page linked from the website, slots for 9 a.m. and 1 p.m. crews plus a supplies slot. Test-register, unregister, then post. Use the week-of checklist the Monday before. Do not launch five programs on the same URL.
