How to schedule repeating dates
Updated September 1, 2026
Recurrence exists so you do not type “every Thursday at 6:30” twelve times. It is a create-time generator: daily, weekly, monthly, or yearly, with an interval, a count, or an until date, and optional weekdays. After the instances exist, each date is its own row. That is the feature. Treat it that way.
When recurrence is the right tool
- A class that meets the same weekday and time for a term
- A monthly board meeting on a predictable day
- Volunteer shifts that use the same slot template every Saturday
Set the time zone on the sign-up first. Recurrence uses that zone so a 6:30 p.m. class stays 6:30 across a daylight-saving change instead of sliding an hour.
When you should type the dates
Three irregular rehearsals. A tournament weekend with Friday evening and Sunday morning and nothing Saturday. A meeting that moves whenever the gym is free. Generating a series and then deleting half the dates is more work than adding three instances.
Holidays will land on your weekly series. After generation, delete or move the Thanksgiving Thursday. The generator does not know your school calendar.
How to create the series
Open the sign-up and add instances with the multiple/recurring option. Choose weekly (or monthly), the interval (1 = every week), the weekday, and either a count (“12 meetings”) or an until date. Apply a slot template if every date needs the same jobs. Capacity can inherit the sign-up default or you can set one for the batch.
Preview the dates in your head before you save: start date on a Thursday plus “weekly on Thursday” is obvious; start date on a Tuesday plus “weekly on Thursday” will surprise you.
What you can change later
You can edit one instance’s time, location, capacity, or description without touching the others. You can add slots to one date. You cannot push “move the whole series to 7 p.m.” as a single command after the fact. If the term changes time, edit each remaining instance or delete the future ones and generate again.
Slot templates applied at create time do not keep future dates in sync if you edit the template. Fix the template, then use it on new instances.
Registration across a series
People register per instance (or per slot on an instance). A parent who wants all eight class nights registers eight times, or you set expectations in the description: “Sign up for each date you can attend.” There is no “enroll in the whole series” checkbox. If you need a single yes for the term, say so in the description and use one instance that represents the term, then track attendance some other way. Do not pretend eight independent dates are a membership.
A clean term setup
- Create the sign-up with public listing off until the calendar is right.
- Set time zone and default capacity.
- Generate the weekly instances through the last class.
- Delete holiday dates.
- Open one instance and confirm times look right.
- Turn listing on if this should appear on the team page, then share.
Schools and churches live on this pattern. Pair it with the week-of checklist when the next date is close.
